Core Campus Systems Unavailable the Weekend of July 5, 2013 for One Hierarchy Implementation

Over the weekend of July 5, 2013 core campus systems will be unavailable for all or part of the weekend to implement One Hierarchy Financial Changes. Impacted systems include the Berkeley Financial System (BFS) organizational tree, Human Capital Management (HCM) labor distribution records, Payroll records, CalTime and Kronos 6.1. These systems will be adapted to reflect One Hierarchy account changes that are effective for the new fiscal year and will result in changes of DeptIDs and Organizational (Org Node) Mappings.

Local supported systems and applications should have been enhanced, tested, validated, and ready to support the following modifications:

  1. Ability to use the new fund and/or DeptID accounting information (e.g., Collect accounts for activity recharge billing)
  2. Ability to use the new campus BFS Organization Tree to govern security, workflow, or reporting aggregation in your systems

Monday, July 1 – Friday, July 5, 2013 Users will not be able to log new Systems Access Request Application (SARA) requests. Approvers will be able to authorize transactions
Monday, July 1, 2013 Campus Accounts Receivable System (CARS) will be updated for One Hierarchy and unavailable all day Monday
Friday, July 5, 2013 – Monday, July 8, 2013

One Hierarchy updates to BFS, HCM, PPS, CalTime, and Kronos
BFS will be unavailable beginning Friday at 7:00 pm through Saturday at 7:00 am.
BearBuy will be unavailable beginning Friday at 7:00 pm through Monday at 6:00 am.
All HCM modules will be unavailable beginning Friday at 6:00 pm through 10:00 pm on Sunday.
Payroll Personnel System (PPS) is usually available on Saturdays until 7 pm for inquire only and will remain available on Saturday. (Note: PPS is never available on Sundays.)
Kronos 6.1 and CalTime will continue to be available.

Monday, July 8, 2013

LDAP, CALDAP, EDW (DataWarehouse), SISPROD, ISTRPROD, SARA will have the updated organizational tree.
Chart of Accounts (COA) validation will continue to verify both the old and the new DeptIDs.

Tuesday, July 9, 2013
Old DeptIDs will be inactivated in BFS at 7:00 am.

Background

In preparation for the One Hierarchy implementation, IST has made major changes to the core campus financial systems.

The first change was to accommodate the new UC Berkeley Composite Benefit Rates (CBR) structure.  Over the weekend of June 28, 2013, HCM labor distribution records, Payroll records, CalTime and Kronos 6.1 were altered to reflect the account changes needed for composite benefit rates handling.

On June 30, 2013, Speedcharts, Speedtypes and DeptIDs were updated in user Profiles for Sciquest with no system down time.
